Digital checklists

Ensure that daily routines actually gets done

With digital checklists you can ensure that critical operating routines are implemented, checked and monitored.  For your employees, checklists will provide support and guidance in what they need to do, how and when to do it.

You can create digital checklists for all types of activities and set which role or function is responsible for completing the checklists. Checklist can be set with a recurring schedule controlling when and how frequently the checklist will be activated.

Checklists can be created by central management and shared to all local stores or restaurants. Or, you can create templates which local units can customize and take ownership of in their own business. The lists can also easily be displayed in different languages depending on which country it was shared to.

To work with a checklist

As soon as a new checklist is activated, the responsible employees will be notified. Via smartphone, tablet or computer, the employee fills out the checklist by entering “OK” or “Not OK” for each checkpoint. They can write comments and attach photo or video as extended information about deviations or as proof of completion of the assignment. Each completed checkpoint is saved with the employee’s name and userID. Different users can complete different checkpoints in the same checklist.

Each checkpoint can also be linked to support information, such as a section of the Operations Manual, training materials or other instructions, to ensure that the performer’s assessment is done on the correct basis. For staff new on the job, this offers great support and guidance so that they can safely perform all checkpoints in accordance to concept guidelines.

Comprehensive reports give management information and feedback on deviations or checklists that have not been completed in time. The reports are created in real time so that actions can be taken before a small issue grows into a big problem affecting customers.

Access to reports and level of detail can be controlled through access rights.

Examples of activities a checklist can support:
  • Daily opening and closing procedures
  • Cleaning routines
  • Control of merchandising and promotion set up
  • Fire protection rounds and safety rounds
  • Store audits and field visits
  • Weekly, monthly or quarterly routines
